These Terms of Use ("Terms") govern your access to and use of the SquadTracker web and mobile applications (iOS/Android via Capacitor) and related services (collectively, the "Service"). The Service is provided by HitQuill ("HitQuill", "we", "us", "our"). By creating an account, accessing, or using the Service, you agree to be bound by these Terms and our Privacy Policy. If you do not agree, do not use the Service.
If you are using the Service on behalf of an organisation (e.g., a club), you represent that you have authority to bind that organisation, and "you" includes that organisation.
1. Who We Are and How to Contact Us

2. Eligibility
- You must be at least 16 years old to create an account. If you are under 16, you may only use the Service through a coach/team administrator who has appropriate authority and, where required, parental/guardian consent.
- You must have the authority to submit personal data of any players you add, especially minors.
3. Accounts and Security
- Account creation: You must provide accurate, current information and keep it updated.
- Credentials: Keep your login credentials confidential. You are responsible for all activity under your account.
- Notification: Notify us immediately of any unauthorised access or security breach at Mail@squadtracker.co.uk.
4. Acceptable Use
You agree not to:
- Use the Service in any unlawful way or in breach of any applicable laws, rules, or regulations (including safeguarding laws for minors).
- Upload, post, or transmit content that is illegal, harmful, defamatory, harassing, hateful, obscene, or infringes others' rights.
- Input special category data (e.g., health, biometric data) unless strictly necessary and authorised; SquadTracker is not designed to process such data.
- Interfere with or disrupt the Service, including by introducing malware, scraping, reverse engineering, or bypassing security measures.
- Misuse reporting, awards, or statistics features to bully or harass players.
- Use the Service to send unsolicited or unauthorised communications.
We may suspend or terminate accounts that violate these Terms.
5. Team and Player Data; Roles
- Role-based access: Head Coach, Assistant Coach, and Admin roles control visibility and editing permissions for team data.
- Responsibility for data: Coaches/admins are responsible for ensuring they have a lawful basis to add players' personal data (including minors) and must provide appropriate notices to players/parents as required by law.
- Transparency: You must inform players/parents about the nature and purpose of tracking (attendance, minutes, goals, assists, cards, awards).
6. Privacy
Your use of the Service is subject to our Privacy Policy, which explains how we collect, use, and protect personal data under UK GDPR and the Data Protection Act 2018. The Privacy Policy governs matters relating to personal data.
7. Subscriptions, Billing, Cancellations, and Refunds
- Billing platform: We use Adapty to manage in-app purchases and subscriptions across our mobile apps and website. Purchases may be processed by platform stores (e.g., Apple App Store, Google Play) or by our web payment processor, and synchronised via Adapty.
- Plans and renewal: We may offer monthly and yearly subscription plans. Subscriptions automatically renew at the end of each billing period unless cancelled.
Monthly subscriptions:
- Cancel anytime: You may cancel at any time before the renewal date to avoid future charges. Access continues until the end of the current billing period. No partial refunds for unused time within the current period.
Yearly subscriptions:
- 30‑day refund window: You may request a refund within 30 days of the initial purchase of a yearly plan if you are dissatisfied. After 30 days, all fees are non‑refundable and the subscription remains active until the end of the term.
How to cancel:
- iOS: Manage/cancel via your Apple ID subscription settings. Apple's terms may govern refunds for purchases made through the App Store.
- Android: Manage/cancel via your Google Play subscription settings. Google's terms may govern refunds for purchases made through Google Play.
- Web: If available, manage/cancel via the SquadTracker account billing page linked in your profile. For assistance, email Mail@squadtracker.co.uk.
- Proration and partial periods: We do not provide credits or refunds for partial billing periods or unused features, except where required by applicable law or by the applicable app store policies.
- Price and plan changes: We may modify prices, features, or plans. We will provide reasonable advance notice for changes to recurring fees. Changes take effect on your next renewal. If you do not agree, cancel before renewal.
- Taxes: Fees are exclusive of applicable taxes, which will be charged as required by law based on your billing address or store settings.
- Failed payments: If a payment fails, we may suspend or downgrade access until payment is successful. You remain responsible for any amounts due.
8. Content and Licence
Your Content: You retain ownership of content you submit (e.g., team info, player names, stats). You grant us a non-exclusive, worldwide, royalty-free licence to host, store, reproduce, process, and display Your Content solely to operate, maintain, and improve the Service and as otherwise permitted by these Terms and the Privacy Policy.
Our Content: The Service, including software, user interfaces, design, features, and documentation, is owned by HitQuill and its licensors and is protected by intellectual property laws. We grant you a limited, revocable, non-exclusive, non-transferable licence to use the Service for your internal team management purposes during your active subscription or authorised access.
9. Feedback
If you provide feedback or suggestions, you grant us a royalty-free, worldwide, transferable, sublicensable, irrevocable licence to use and incorporate it without obligation to you.
10. Third-Party Services
The Service may integrate with or link to third-party services (e.g., app stores, payment processors, email delivery, authentication, hosting). Those services are governed by their own terms and privacy policies. We are not responsible for third-party services.
11. Service Availability and Changes
- Availability: We strive to provide reliable access but do not guarantee uninterrupted or error-free operation.
- Changes: We may modify, suspend, or discontinue features or the Service with reasonable notice where practicable. If a change materially reduces core functionality you have paid for, you may be entitled to a pro‑rated remedy where required by law.
12. Termination
- By you: You can stop using the Service at any time and may delete your account using in-app controls.
- By us: We may suspend or terminate your access if you breach these Terms, pose a security or legal risk, or for non-payment. We will provide notice where reasonable.
- Effect: Upon termination, your right to use the Service ends. We may retain and/or delete data as described in the Privacy Policy and our retention schedule.
13. Safeguarding and Conduct with Minors
If you manage teams with minors:
- Obtain necessary consents and comply with safeguarding duties and applicable FA/league rules.
- Do not post or share sensitive personal data.
- Use awards and statistics responsibly; do not use features to shame or harass.
14. Disclaimers
- The Service is provided "as is" and "as available." To the fullest extent permitted by law, we disclaim all warranties, express or implied, including merchantability, fitness for a particular purpose, and non-infringement.
- We do not warrant that the Service will meet your requirements, be accurate, free of errors, secure, or available at all times.
15. Limitation of Liability
To the fullest extent permitted by law:
- HitQuill will not be liable for indirect, incidental, special, consequential, or punitive damages, or for loss of profits, revenues, data, goodwill, or business interruption.
- Our total liability for any claim arising out of or relating to the Service or these Terms will not exceed the greater of: (a) the amounts you paid to us for the Service in the 12 months before the event giving rise to liability, or (b) £100.
- Nothing in these Terms limits liability for death or personal injury caused by negligence, fraud, fraudulent misrepresentation, or any other liability that cannot be excluded under law.
16. Indemnity
You agree to defend, indemnify, and hold harmless HitQuill, its directors, employees, and agents from and against claims, losses, damages, liabilities, costs, and expenses (including reasonable legal fees) arising from: (a) your use of the Service; (b) Your Content; (c) your breach of these Terms; or (d) your violation of applicable laws or third-party rights.
17. Intellectual Property Infringement
If you believe content on the Service infringes your IP rights, contact us at Mail@squadtracker.co.uk with details of the alleged infringement. We may remove or disable access to alleged infringing material and terminate repeat infringers where appropriate.
18. Updates to These Terms
We may update these Terms from time to time. We will provide notice of material changes (e.g., via email or in-app). Changes take effect when posted or on the stated effective date. Your continued use after changes constitutes acceptance.
19. Governing Law and Jurisdiction
These Terms and any dispute or claim arising out of or in connection with them are governed by the laws of England and Wales. The courts of England and Wales shall have exclusive jurisdiction, except that you and we may seek injunctive or equitable relief in any jurisdiction.
20. Communications
By using the Service, you agree that we may send you transactional communications (e.g., service notices, security alerts). For promotional emails, you can unsubscribe at any time.
